At Seen & Supported, we take your privacy as seriously as we take your support. Because we work with lived experience, we know how important it is that you feel safe knowing where your data goes. This policy explains what is collected, why it’s collected, and how it’s kept safe across all of our forms, tools, and coaching spaces.
1. What information do we collect?
When you interact with our website, complete our forms, or work with us, we collect:
Website Enquiries & Waitlists: Your name, email address, and any messages or notes you share when joining a community waitlist or reaching out via our website forms.
Access to Work (AtW) Strategy Hub: Your name, employment status (Employed, Self-Employed, Limited Company Director, or Multiple Roles), and your progress checklist steps.
Coaching Agreements: Your name, contact details, digital signature, and agreed coaching terms.
Intake & Profiling Questionnaires: Information about how your brain works, your neurodivergent traits, workplace barriers, executive functioning strengths, communication preferences, and coaching goals.
Call Data & Meeting Notes: If we meet online, we may collect session recordings, written transcripts, and AI-generated summaries so you don’t have to worry about manual note-taking during our time together.
Special Category Data (Health & Neurodivergence):
Information regarding neurodivergence, health conditions, or workplace adjustments is classed as Special Category Data under UK GDPR (Article 9). By completing intake questionnaires, entering details in the AtW Hub, signing your agreement, or sharing lived experience during coaching, you give us explicit consent to process this data solely to deliver your support, prepare tailored proposal documents, and guide your grant onboarding.
2. How do we use your data?
We only use your information to:
Communicate with you about your bookings, waitlist updates, or enquiries.
Understand your neurodivergent profile and deliver personalized, accessible coaching.
Prepare coaching agreements and AtW-compliant support proposals.
Help you track and manage your Access to Work grant progress.
We never sell your data, nor do we share it with third parties for marketing.
3. Where is it stored & how is it kept safe?
Your data is stored securely across professional-grade, password-protected systems and cloud providers:
Website & Form Platforms: Web enquiries, waitlist submissions, digital coaching agreements, and intake questionnaires are collected and stored using encrypted website hosting and secure online form software.
Cloud Workspace & Internal Dashboards: Questionnaire responses, internal AtW progress dashboards, emails, and meeting summaries are stored inside our private, password-protected cloud workspace.
Client Portal: Your client portal, session summaries, action plans, and coaching notes are housed in a secure, password-protected coaching management platform.
Local Browser Memory (localStorage): The AtW Strategy Hub saves your checklist progress in your browser’s local memory on your device so your steps stay saved when you return. If you use a public or shared computer, you can wipe this data instantly using the "Clear my data from this browser" button in the hub footer.
Third-Party Tools & AI Note-Taking
To ensure we can be 100% present during our sessions rather than distracted by manual note-taking, we use native AI meeting assistants for session summaries across our video conferencing platforms:
Why we use them: As a neurodivergent practitioner, these tools allow ultimate focus entirely on you.
Your Privacy: These tools are explicitly configured so your session data is not used to train public AI models. No external third-party "bots" join our calls.
Your Choice: You are always in control. If you prefer to turn off AI note-taking for any call, just let us know at the start of the session. All recordings, transcripts, and summaries are stored in secure cloud folders, and old session data is reviewed and deleted regularly.
4. Your Rights
Under UK GDPR, you have full control over your data. You have the right to:
Ask to see exactly what personal data we hold about you.
Ask to correct any mistakes or update outdated information.
Ask to delete everything we have on you at any time ("Right to be Forgotten").
Withdraw your consent for health or support data processing at any time.

5. Cookies & Local Storage
This site uses essential cookies and local browser storage (localStorage) to make sure the website functions smoothly (such as managing calendar bookings and saving your AtW checklist progress on your device). You can manage cookies in your browser settings or clear local hub data at any time via the button in the AtW Hub footer.
